Covid-19 Update(ISD Services)
  1. All the Visa & Residence related services of Integrated Services Department can be applied and paid online.
  2. For Residency stamping, physical submission of documents is temporarily waived. All documents must be uploaded online to avail Residency approval. Immigration has provided relaxation on the pasting of Residency stickers in the passport for the time being. In case of emergency travel plans please get in touch our support email at customersupport@hfza.ae.
  3. Signed and stamped Employment Contract must be uploaded online along with the passport signature page for verification by HFZA Visa Officers.
  4. Online Visa cancellation applications must have Final Settlement Letter signed, thumb verified and stamped by the applicant. The pre-printed letter is available for download in the Document Upload section of Visa cancellation application.
  5. Non-exit / Status Change applications now do not require original passports. Please ensure to upload a clear and colored passport copy while applying for Non-Exit/Status Change applications for smooth processing.

  1. 1) How to access Visa & Residence services in ePortal?
    1. After logging in to the system look for Visa & Residence Services in left side menu. Click Visa & Residence Service in the left side menu and click Access Visa & Residence Services in the new page opened.
    2. A new tab will open with a side menu to access Visa & Residence related services.
    3. Look for the desired service’s category (For example Security Approval)in the left side menu.
    4. Collapse the category to see list of services (For example Security App + Establishment Card) under the category.
    5. Click on the desired services. A new page will open to either search for in-process applications or apply for new service.

    1. Register or Renew License with Hamriyah Free Zone Authority.
    2. Request Security Approval - Security Approval is the first requirement from the Federal Authority of Identity & Citizenship for procedures related to naturalization and residency services.

      4. How does an Employee Visa differ from Investor or Partner Visa?
        1. Validity of investor or partner visa is 3 years.

      6. What if the applicant has entered the country using tourist or visit visa?
        1. An applicant on a tourist visa must apply for an Entry Permit. Applicant can change the status of tourist or visit visa to Entry Permit either by entering the country with new issued Entry Permit or by availing Non Exit service available in ePortal and Visa Department HFZA.
      7. What is Non-Exit?
        1. A non-exit is an official document issued by Federal Authority of Identity & Citizenship for applicants who are eligible to apply for a Residence Permit without exiting the country. Non-Exit is applied for applicants who have travelled into the country on a tourist or visit visa or has his/her visa cancelled from the previous company in UAE.
        2. Application can be created and paid online or in Visa Department of HFZA.
        3. Can I create Non-Exit (status change) application before receiving Employment Entry Permit?
          1. No. Non-Exit application can only be created once the Entry Permit is issued.
      8. What if the applicant’s previous visa is cancelled?
        1. Applicant can apply for new Entry Permit.
    6. Apply for Residence Permit – A Residence Permit is issued by Federal Authority of Identity & Citizenship when the applicant is in UAE, having entered using the entry permit and is applied within the validity period. The Residence Visa is stamped on the passport enabling the applicant to travel in and out of UAE within the validity period of the visa, provided the duration of travel does not exceed six months or else the residence visa will be invalid to travel. A Residence Visa requires the applicant to undergo a Medical Test at the Health Center in HFZA to obtain a fitness Medical Report.
      1. How to obtain Residence Permit?
        1. Valid E-Channel registration is mandatory for companies to apply for Residence Permit.
        2. The person should be inside UAE at the time of applying the Residence Permit.
        3. Residence Permit has to be applied within 50 days from the date of entry in U.A.E to avoid delay fines. Immigration fines also apply after exceeding the period, from the date of entry in U.A.E or from the Non-Exit.
        4. Application can be created online or in ISD of HFZA.
        5. Customer should book Medical appointment from the e-portal prior to the medical test.
        6. Customer must upload the Medical Fitness Report, Emirates ID application(attested) and the Employment Contract (only Employees, not for Owner/Partner) in the e-portal or submitted in the ISD of HFZA when ready.       1. Renewal of Security Approval is mandatory if the trade license is expired and renewed already. This to avail the services of Federal Authority of Identity & Citizenship.
      2. If there is an Amendment such as Change of Partner/Shareholder or Change of Activity in the license then first Renewal of Security Approval is to be completed, followed by Amendment of Security Approval. The order of the applications precedence is important.

  4. 4) How to renew Visa?
    1. Renewal of visa requires application of Residence Permit Renewal to be created and submitted with necessary documents.
    2. A Residence Permit Renewal is issued by Federal Authority of Identity & Citizenship and stamped on the passport for investors, employees or dependents.
    3. Residence Permit Renewal has to be applied within a grace period of 30 days from the date of visa expiry to avoid a penalty of AED 30.00 per day.
    4. Upon the expiration of visa validity – the Emirates ID card of the applicant gets expired too.
    5. How to obtain a Residence Permit Renewal?
      1. Valid Establishment Card and E-Channel registration is mandatory for companies to apply for Residence Permit Renewal.

        1. Emirates ID is an identity card issued by Federal Authority for Identity and Citizenship. It is a legal requirement for all UAE citizens and residents to have Emirates ID.

        1. Employment Contract is a legal agreement between the employer and the employee being sponsored in HFZA.
        2. Employment contract is not required in case of Partner or Investor visa.

        4. Employment Contract can be downloaded from ePortal after creating the Residence Permit Application.
        5. How to submit Employment Contract in HFZA?
        6. Presence of the applicant and an authorized signatory from the company is mandatory.
        7. Presence of a second authorized signatory from the company is mandatory when the applicant is authorized signatory of the company.
    6. How to download Residence Permit Renewal approval paper?
      1. Immigration approval paper for Residence Renewal is uploaded in the e-portal once ready. Renewal Stamping is completed only if there is any emergency travelling with ticket proof.
      2. The Immigration approval paper can be downloaded from the download url sent to the SMS mobile number or the registered email address.
      3. If the approval paper cannot be downloaded via SMS or email, it can be downloaded from the e-portal in below two ways

      1. Residence Renewal Stamping appointment is booked from the e-portal to get the visa stamped on the passport only after the approval for the respective application is uploaded in the e-portal.

        1. On the Home Page, choose “Book Stamping Appointments” from the dashboard.
          1. Choose Applicants, select date and time slot required.
          2. Choose Book Appointment and then download OR

  5. 5) Cancellation of Visa
    1. Visa Cancellation can be requested in the following cases
      1. Employee or Applicant is willing to obtain new sponsorship outside Hamriyah Free Zone Authority.
      2. Employee or Applicant is willing to permanently leave UAE
      3. All the employees, investors and partners visas’ are to be cancelled if license is to be terminated.
    2. Visa cancellation is not mandatory if employee or applicant is switching employer within Hamriyah Free Zone Authority. Instead a Transfer Within application can be created.
    3. Cancellation of visa has to be applied within a grace period of 30 days from the date of visa expiry to avoid a penalty of AED 30.00 per day.
    4. Who can cancel visa for employee or partner?
      1. If one of the partners’ visa is to be cancelled then another partner or authorized PRO can process the visa cancellation.
      2. Employee is cancelled only in the witness of the employer (investor, partner or authorized PRO) to ensure the settlement is received on services and there are no outstanding issues between the employee and employer.
    5. How to cancel last visa of the company?
      1. If the company wishes to process cancellation of the last visa of a terminated company then it is must to cancel the establishment card along with visa cancellation.
    6. Can visa of authorized PRO be cancelled? If so, what will be the status of PRO authorization to process applications in Investor Services Department?
      1. Yes the authorized PRO visa can be cancelled but the PRO authorization is to be removed prior to visa cancellation. The authorization can be re-applied after the visa cancellation, based on the new visa type.
    7. What is Cancellation outside UAE?
      1. If the applicant has travelled out of UAE and fails to travel back into the country within 6 month’s period the visa status becomes invalid and it is required to apply for visa cancellation in this case.
    8. What is airport exit paper and why it is required to complete the cancellation?
      1. The exit paper received from the Airport after the cancellation paper of the applicant is submitted and handed over to the company must be uploaded in the ePortal to complete the cancellation status.
      2. If the applicant does not exit the country, any supporting document confirming visa status change is required to be submitted or uploaded in ePortal.
      3. The cancellation status of the applicant is only changed after the exit paper or supporting documents are uploaded in the system and the authorized person informs the Visa Department in HFZA for the same.

        1. Airport Exit Paper or proof of the visa status change can be uploaded in the e-portal by the following way.

  11. 11) Residence Permit
    1. What is a Residence Permit?
      1. A Residence Permit is issued by Federal Authority of Identity & Citizenship when the applicant is in UAE, having entered using the entry permit and is applied within the validity period. The Residence Visa is stamped on the passport enabling the applicant to travel in and out of UAE within the validity period of the visa, provided the duration of travel does not exceed six months or else the residence visa will be invalid to travel. A Residence Visa requires the applicant to undergo a Medical Test at the Health Center in HFZA to obtain a fitness Medical Report.
    2. How to obtain a Residence Permit?
      1. Valid E-Channel registration is mandatory for companies to apply for Residence Permit.
      2. The person should be inside UAE at the time of applying the Residence Permit.
      3. Residence Permit has to be applied within 50 days from the date of entry in U.A.E to avoid delay fines. Immigration fines also apply after exceeding the period, from the date of entry in U.A.E or from the Non-Exit.

        1. All the Investors and Partners are added as PROs list automatically. Activation of mobile number is required for each partner separately. This activation can be done online or at reception of Investor Services Department.

      4. What is Dependent Residence Permit?
        1. Residence Permit is the 2nd step of applying family visa. It is issued by Federal Authority of Identity & Citizenship when the dependent is inside UAE, having entered using the dependent entry permit and is applied within the validity period. The Residence Visa is stamped on the passport enabling the dependent to travel in and out of UAE within the validity period of the visa, provided the duration of travel does not exceed six months or else the residence visa will be invalid to travel.
      5. How to obtain Dependent Residence Permit?
        1. Application can be created online or in Integrated Services Department of HFZA.

          1. Dependent of age above 18 years, applying for Family Residence Renewal is required to perform a medical test. The Residence Renewal can only be processed if the applicant is medically fit as per the fitness report.

            1. Medical form can be downloaded from e-Portal after the payment on Family Residence Renewal Application is completed.

              1. Medical appointment is booked from the e-portal after the payment on the respective application is completed.

        7. What is Emirates ID?
          1. Emirates ID is an identity card issued by Federal Authority for Identity and Citizenship. It is a legal requirement for all UAE citizens and residents to have Emirates ID

  18. 18) Accommodation Bed Assign
    1. How to assign bed for Accommodation in the e-portal?
      1. The bed assignment must be updated in the e-portal whenever a new bed is assigned to a new Employee/Labor. It can be updated as mentioned below.
        1. Look for the left side menu My Account. Collapse the category and navigate to the service Accommodation Bed Assign.
        2. A new page will open with an option to Update Employee Accommodation or search the status of updated employees.
        3. Click on Update Employee Accommodation
        4. The entire list of accommodation beds with respective building no. will be loaded.
        5. Please select the Employee/Labor in front of each bed to choose the respective bed.
        6. Mobile No. and Emirates ID No. must be filled-in for each Employee/Labor that is selected.
        7. Update the above details for all the Employee(s)/Labor(s).
        8. Click on Save/Update to update the accommodation bed assignment.
    2. How to search the bed assigned to an Employee/Labour in the e-portal?
      1. In the search panel, select the Employee/Labor and click on search to find the details.
      2. To find the bed assignment details of all the Employee/Labor already assigned, simply click on search to load the entire list.
    3. Is it possible to modify or correct the details of the Employee/Labour that is updated in the e-portal?
      1. Yes. The details can be modified on the same form where the bed is assigned for each Employee/Labor. The correction can also be performed on the building /room number if required.
  19. 19) FAQs
    1. I have received SMS/Email that my application is pending. What should I do?
      1. The email and SMS will have a URL. You may click on the URL to read the reasons. To edit/update application it is mandatory to login to ePortal.
      2. If you did not receive URL in SMS/Email then please login to ePortal and choose Visa & Residence services. Type your application number in the TRACK APPLICATION box. A new box will appear showing all the application info along with pending reason. Read the pending reason carefully.
        1. In case of missing document Edit the application and upload the missing documents. Complete the application until last step to submit for ISD staff.
        2. In case of missing payment or fine, Edit the application and pay the missing amount. Complete the application until last step to submit for ISD staff.
        3. In case of the issues related to other authorities please follow the instructions mentioned in the pending reasons.
    2. I am getting logged out payment step of application with the message "session times out". What should I do?
      1. Clear cookies of your browser or try another browser such as Microsoft Edge, Safari or Mozilla Firefox.
    3. My Renewal of security application is pending because I am asked to create Amendment of Security approval. What should I do?
      1. In the left side menu find Security Approval and click Amend Security Approval. If you do not find Amend Security Approval in the menu please email onlinevisasupport@hfza.ae
    4. My Amendment of Security Application is pending because I am asked to create Renewal of Security Approval. What should I do?

    5. My Employment Contract scan copy is rejected due to incorrect formatting or placement of information on the page. What should I do?
      1. Employment contract can be printed on a pre-printed contract copy which can be collected from ISD at HFZA. The information has to be printed in the correct alignment to avoid any rejections. To print the contract please follow below guidelines for Windows users.
        1. Use Adobe Acrobat Reader to open the contract file. Please note if the file is opened in internet browser it may not print correctly.
        2. Open the contract file in Adobe Acrobat Reader and choose Print from File menu.
        3. Choose Actual Size in the Print screen.
        4. Click Page Setup and choose A4 in Size box of the Page Setup Screen.
    6. I wish to terminate my Trade License in HFZA. What are the steps to follow?
      1. The service of termination of Trade License must be applied in the Lease & License Department or in e-portal online.

      2. Once the internal procedures related to termination are completed in the Lease & License Department, following steps to be completed in the Integrated Services Department.
        1. Accommodation clearance – Clearance for Accommodation is applicable for companies having labor accommodation in HFZA. The Accommodation provided to the company by HFZA is inspected along with other internal procedures for accommodation clearance.
        2. Complaint clearance – Clearance is required for the employees who have filed a complaint against the employer in HFZA for reasons related to settlement issue, leave dispute, medical issue, salary deduction and various other reasons. The investor gets in touch with the Dispute & Resolution Section in ISD for clearance procedures.
        3. Family clearance – All the family visas under the sponsorship of the employees in HFZA have to be cancelled. The Investor gets in touch with the Family Section in ISD for clearance procedures or apply for family visa cancellation(s) in the e-portal.         4. Visa clearance – All the employee visas under the employer in HFZA must be cancelled to get the clearance. The last visa and the establishment card is processed for cancellation at the same time. The Investor gets in touch with the Visa Section in ISD for clearance procedures or apply for employee visa(s) and establishment card cancellation in the e-portal. Archive and Typing fee clearance – If there were any pending, rejected or cancellation applications in the company or any pending payments on applications typed inside Integrated Services Department, then the clearance for the same is required.     7. I have applied cancellation of visa but still the visa quota is occupied by the applicant. What should I do?
      1. The applicant is not released from occupying visa quota unless the below steps are completed.

        2. The application status is completed from the Integrated Services Department.
    8. How do I download Immigration approval paper?
      1. Immigration approval paper for the respective application is uploaded in the e-portal once ready for types of visa applications.
      2. The Immigration approval paper can be downloaded from the download url sent to the SMS mobile number or the registered email address.
      3. If the approval paper cannot be downloaded via SMS or email, it can be downloaded from the e-portal as below
